Before an AI receptionist answers normal customer calls, test the workflow you actually intend to use. A smooth demonstration is not enough: your business needs to know how the system behaves when a caller is unclear, asks for something unsupported or needs a person.
Capabilities vary by product and configuration. Treat this checklist as an evaluation framework, not a claim that every tool supports every feature.
Define success before testing
Write down the information the system should collect, the questions it may answer and the situations it must hand to staff. If it only records appointment requests, the test should fail when it announces a confirmed booking.
Use fictional names and contact details for testing. Assign a team member to review the conversation and the resulting message or record.
Try ten realistic calls
Test a difficult-to-spell name; a corrected phone number; a caller outside your coverage; an unclear service request; a request for an unapproved discount; an unavailable staff member; an unanswered transfer; a calendar conflict; an unsupported question; and a caller who asks directly for a person.
For each call, compare what the caller said with what reached your team. A friendly conversation is not a substitute for accurate information.
Check the fallback, not just the happy path
If a transfer fails, the caller should hear a clear next step. Confirm whether the system takes a message, offers another approved route or ends the call. Check who receives the follow-up task and how staff know it remains open.
Do not use the system to promise emergency response or professional advice it is not configured and qualified to provide.
Release in a controlled scope
Record each test as pass, needs revision or blocked. Fix unclear instructions and repeat failed scenarios before broadening the trial. Start with a limited call flow, such as message capture, if more complex actions are not yet reliable.
Keep a person responsible for reviewing errors and updating business information. The goal is a dependable handoff that your team can support, not simply a system that can keep talking.
