Is an AI Receptionist Worth Testing? Build a Simple Pilot Scorecard

An AI receptionist pilot should answer a practical question: does this workflow help your business handle the calls it is meant to handle? A demonstration alone cannot answer that for your team.

Choose a limited use case, define what success means and compare the outcome with the process you already have.

Start with an eligible call type

A sensible pilot might cover after-hours message capture or initial sales intake. Keep requests requiring unsupported judgment outside the pilot. Confirm what the product and integrations can actually do.

Document the current process first: who checks messages, what information is often missing and how callbacks are assigned.

Build a scorecard

Use these fields for each eligible call: intended call type, contact details captured correctly, request understood, handoff completed, staff follow-up completed and exception notes.

Count the actual number of reviewed calls. A percentage without its sample size can sound more conclusive than it is. Keep test calls separate from real customer calls.

Include the full cost

Record subscription charges, usage fees where applicable, setup effort and the time spent checking or correcting records. Compare that with the work the pilot actually handled.

Avoid assuming every missed call would have become a sale. If you want to estimate value, label assumptions separately from observed appointments or inquiries.

Decide what to change

At the review point, classify the workflow as ready to continue, needs revision or unsuitable for the intended task. Identify the specific failure behind that decision. An inaccurate phone number calls for a different fix from an unanswered staff transfer.

A small sample may justify more testing rather than a broad rollout. Keep a fallback process available and assign an owner for updates. The purpose of the pilot is to make a better operating decision, not to produce a guaranteed savings figure.
